Fairladies SHG Standard Operational Procedure

1.  Introduction
The purpose of this operation procedure is to describe routine operations performed by Fairladies SHG in carrying out water sales project.



2.  Responsibilities and authorisations
Legal permit to carry out of water sales has been given by THIWASCO and are licensed to carry out business.
The group members are entirely responsible for the sale of water from the water kiosk and also management and administrative duties.

3. Water tank refilling
Should be done every morning, before 5:00 am
Water is supplied by THIWASCO and their water supply is in plenty early mornings;
>Open the water meter tap (in the main pipe that acts as an entrance to the tank )
>Constantly check the water volume to ensure it do not fill and overflow.
>Once tank is full, close the water meter tap.


4. Preparing for water sales
Fill the jericans
Should be done between 5:00 am and 5:45 am.
> Get the water jericans from the store.
> Go to the water tank
> Fill the jericans from water in tanks multiple jericans can be filled at same time; from the two big tanks they have, open the taps close to the bottom to fill jericans and you may also put long pipes from the opening at top of the tank i.e. thru siphoning.
> Once the jericans are full put on the caps to close them.
Preparing donkeys
Should be done between 5:45 am and 6:00 am
> Untie donkey mostly tied at the leg; to make it free of movements.
>  Hook a donkey up to a cart.
> Bring them to the water kiosk their movements should take 10 minutes at most.

Putting Jericans on the cart
Should take at most 15 minutes; up to 6:15 am
>  Load the jericans on the cart, handles facing on one side, to ease off loading.
Registration of number of jericans loaded
> The group member in charge of the water point: puts in records of the number of jericans each donkey carries from the kiosk corresponding to the name person of the person in charge of each donkey.
At this point the donkeys are ready to leave for water distribution.

 
4. Water sales by donkeys
The water distribution starts at 6:30
> Donkeys move from one customers to another, starting with business enterprises mostly hotels and to customers who make prior orders.
> Other people, though not daily customers can stop the people with donkeys and request to buy water from them even without having made prior orders more so in the following trips.
Actual Selling Process
> Stop the donkey close to the customer's business or premises
> Take off the number of jericans ordered
> Help the customer pour the water from the jericans to their tanks
> Collect the money from the customers
Return for another trip
Each trip could take about 2 to 3hrs per trip depending on how far their customers are.
Once all the water from h first trip is sold;
> Take the donkeys to the water kiosk to get more water
> Leave the empty jericans and they carry the filled up ones. Now, they also have very many jericans and this reduce time wastage; when the donkeys come pick water for distribution, they do not have to wait for the jericans to be filled up as they find other jericans already filled up. These empty ones are then filled waiting for the next trip and the cycle continues.
> On average donkeys make four trips a day; closing business from around 6:00 pm to 7:00pm.

5. Water sales from water kiosk
Sales from water kiosks run throughout the day starting 6:00 am to 6:00 pm.
> Customers arrive at the water kiosk with their own jericans
> Opens both the meter and the tap and allows the customer fetch water to fill their jerican
> Payment is then made
> The group member in charge of the kiosk puts to record the number of jericans bought per day
In these kiosks they have no tanks (though it's advisable) since fetched at ago is not much.


6. The donkeys return
With the close of the day's business the donkeys should be returned to their house.
> They take the donkeys back to the kiosk
> Take off the jericans from the cart
> Return the jericans in the store room
> Direct the donkeys to their shed
> Unhook the carts
> The donkeys are then fed
> The donkeys to sleep


7. Feeding the donkeys
Feeding donkeys
Should take ½ an hour to 1 hour each evening after day's work.
> Get the feeds from the store room. The room should be dry and well ventilated to ensure that the feeds are never dump.
> Put the feeds in the feeding containers, give a favorable amount. Unlike many animals donkeys do not do well with lots of food as they easily add on wait. Feed the donkeys with natural foods such as maize cobs, grass, hay and such.  Donkeys' main food sources should be low sugar and high fiber. You should avoid feeding your donkey any cereals or grains such as oats, barley, wheat and corn (maize). These products are too high in starch and sugar and have been implicated in the development of diseases such as laminitis in donkeys, as well as a leading cause of obesity. They are feed once a day in the evening after the day's work.
> As the workers break for lunch, it is advisable to allow them graze freely in fields.  
Providing water for the donkeys
> Provide the donkey with water after each trip
> While feeding time give the donkeys a lot of water, provide enough water until they take no more
Unfrozen water at all times. Make sure it doesn't leak onto the floor of the donkey's shelter, since they need a completely dry floor for their hooves. Don’t forget to check in cold seasons as older donkeys will really appreciate a drink of warm water in the extreme cold seasons.



8. Daily sales money
Collecting money
> Go collect money from customers who had not paid (mostly this is water taken to hotels)
> check to ensure the amount collected is correct.
Surrendering sales money
Each employee entrusted with a donkey by fairladies should submit the day’s sale money each evening without fail. However the time is not specified as they finish work at different times.
> Go to the group member in charge of the water kiosk in the evening
> Together go through the days’ record showing the number of jericans carried per trip.
> Employee surrender the money made from each trip
> Record the amount


9. Total sales money
At a Specified day (could be once a week), the three group members in charge of the water kiosks surrender their money to the SHG’s treasurer together with their records.
They count the amount together to see the totals recorded are equal to the amounts given.


10. Care for the donkeys
The donkeys should be checked by a veterinarian frequently i.e. in every three months.
> The donkeys are injected with a three month injection of Tetanus, Vitamins and De-worming injection.
> The veterinarian on request also gives guidance on how to take care of the donkeys. For example on; Keeping the hooves dry and trimmed; Donkeys' hooves grow, just like people's nails, and they need to be trimmed from time to time so they don't get too long and crack. The donkey's hooves should be trimmed every 8 weeks or so.
Checking the teeth for sharp edges; Donkeys' teeth also grow continuously, and they get worn down when the donkey chews food. The donkey dentist will need to check right to the back of the mouth to make sure your donkey has functioning teeth that aren't causing difficulty eating and constant pain.


11. Additional Important Information
To distribute water using donkeys, the place should be relatively flat to enable the donkeys move freely even when pulling the carts with jericans full of water. Donkeys have problems pulling heavy carts up raised ground.
During the times when they( people in charge of water kiosks) are waiting for the customers, the group members may opt to do carry out other personal improvement activities such as selling fruits near the water kiosk, Sweta knitting, cleaning the place, getting suggestions from customers among other activities.
